Frequently Asked Questions

FAQs (Frequently Asked Questions)

Price list & quotation

Please call us or fill in our enquiry form with your details in order to send you relevant price information and examples suited to your needs. We usually reply to every enquiry within one hour by email or same day mailing if you prefer to receive our information by post.

When you request a quotation for location maps we will create one for you based on the information you provide us with and email, fax or post it to you with examples of similar maps that we have designed for other clients.

For some of our products (site plans, floor plans or 3D drawings for example) we may require further information before we can give you a quotation as the level of detail in each of these products can vary greatly.

We will liaise with you to make the process of ordering your map as efficient and simple as possible. We are here to offer advice and answer any questions you may have.

What do I need to supply?

We request a signed copy of our quotation and/or your official purchase order by fax or post.

To design the map we also need your logo (preferably as EPS or JPEG file) with your Pantone references and specific fonts if you want the map to re-use all or part of your corporate identity. If you have set rules for the use of your logo and corporate colours, please supply these as well. Pictures of your building or aerial site views should be supplied in JPEG format.

All of the above can be sent by email.

Copyrights

We are licensed to use a number of data sources, and in most instances Ordnance Survey data, to create our maps. We include in all our costs the right to reproduce your map up to 1,000 times and also to display it on your web site for a 3 year period.

This ensures that you do not infringe third party copyrights but also means that large users may incur additional fees for print runs above 1,000 maps or for displaying maps on their web site after 3 years.

We will endeavour to make map copyrights as simple and hassle free as possible and use the most economical sources for each type of map we design.

Timescales

It usually takes 5 to 10 working days to get an order for up to 10 maps to first proof stage. For larger orders a longer delivery schedule will apply. Amended proofs incorporating your changes are usually returned within 48 hours.

If you have urgent deadlines, we can often deliver first proofs within 1-2 working days. A surcharge usually applies for urgent jobs.

Proofing process

In as much as possible, the proofing process will be via email using PDF files to ensure prompt turnaround and easy distribution of the proofs to your colleagues whose input may be required.

Each of our cartographers has experience in designing hundreds and often thousands of location maps and will not usually require your input to design the first proof of your map unless you wish to give us a design brief. This is especially valuable when there have been recent changes to the road network or traffic restrictions in your area. If your premises are on a business park or industrial estate do not hesitate to send us a document showing its layout in order to make your immediate surroundings as precise as possible.

When you receive proofs, we invite you to tell us about any changes you would like to make to the maps; colours, landmarks, traffic lights, one-way systems etc. We will incorporate the changes and email you a new proof. We will continue through these proofing stages until you are 100% satisfied with your maps although it usually takes no more that two or three stages to reach this point.

We expect new proofs to be returned with amendments or signed off within 10 working days of receiving them.

When the maps are approved, we will produce all files required and send you all your maps by email.

Updates and amendments

If your A4 map needs updating within 3 years of purchase we will usually carry out amendments free of charge as part of our 3-year free update guarantee. A nominal charge may apply for logo or company detail changes that are unrelated to the map or travel directions.

Amendments to A5, compliment slip and single locator maps are normally charged at a minimum of £30+VAT.

If you move to a new address within the perimeter of the existing map a discount of 50% will usually apply for the new map.

Discounts

Volume discounts from 5% will apply for orders of 5 maps or more. For smaller orders we will evaluate each map address to let you know if a discount is possible.

International maps

We have designed hundreds of maps for international locations and the design process is usually similar to UK maps although we may require slightly longer timescales should we need to acquire new data sources.

For locations in newly built business or industrial parks or in fast developing cities or regions we may require information to be provided by your local office as this information is often not commercially available for several years after these developments have taken place.
